Job Description

The Senior HR Executive will be responsible for ensuring smooth HR operations related to employee background verification, consultant and contract agreements, employee data management, HR dashboards, and group insurance administration and timely execution of HR processes while collaborating with internal teams and external vendors. 
This role requires a keen eye for detail, compliance knowledge, and expertise in handling HR systems in an IT environment.

Requirements

1.    Employee Onboarding:
Facilitate a seamless onboarding experience for new hires, including full-time employees, contractual, and interns.
•    Ensure all pre-joining formalities are completed, including documentation, BGV initiation, and IT system access.
•    Conduct induction programs to familiarize new employees with company culture, policies, and IT security protocols.
•    Coordinate with IT and admin teams to ensure timely provisioning of assets, system credentials, and workspace allocation.
•    Gather employee feedback on the onboarding process and drive continuous improvements.

2.    Background Verification (BGV):
•    Ensure 100% completion of BGV for new hires within SLA (e.g., 15 working days post-joining).
•    Coordinate with external BGV agencies to conduct and finalize the entire background verification.
•    Analyze discrepancies in BGV reports and take appropriate action in consultation with the HR Manager.
•    Maintain digital records of verification reports and ensure compliance with IT security policies.

3.    Agreements for Consultants and Contract Resources:
•    Draft, review, and manage contracts for IT consultants, freelancers, and contract employees.
•    Ensure that all agreements comply with labour laws, IT industry standards, and company policies.
•    Track contract expiration and renewal dates, ensuring timely updates.
•    Consult & connect HR Manager to collaborate with the legal and finance teams for agreement modifications and approvals.

4.    Employee Data Management:
•    Maintain accurate employee records in HRMS, ensuring compliance with data protection policies (e.g., EPFO, HRMS, ISO 27001).
•    Regularly track and maintain up-to-date employee databases with personal details, job history, and IT access records.
•    Ensure HR systems are optimized for efficient data retrieval and reporting.
•    Understanding the KRA’s and sharing it with the employee on discussion with their respective Manager / Practice Lead.
•    Conduct periodic audits to maintain data integrity and compliance with IT security protocols in co-ordination with HR Manager.

5.    HR Dashboard and Employee Reports:
•    Generate real-time HR dashboards covering headcount, attrition, hiring status, and workforce diversity.
•    Leverage HR analytics tools to track employee trends and suggest improvements.
•    Maintain internal HR data regularly for HR dashboard & employee reports.
•    Automate recurring reports and implement process improvements to streamline HR analytics.

6.    Group Insurance Administration:
•    Manage group insurance plans (health, life, accidental) for full-time and contractual employees.
•    Facilitate employee & their family enrolments, deletions, and claims in collaboration with insurance providers.
•    Conduct awareness sessions on insurance benefits and claims process for employees.
•    Ensure compliance with IT industry standards on employee well-being policies.


Key Skills & Competencies

•    HR Compliance & Policies – Strong understanding of labor laws, IT industry regulations, and contract management.
•    Tech-Savvy – Proficiency and Experience in HR software (HRMS / HRIS) and data analysis tools. Knowledge of HR digital transformation is a plus. MS Office (Excellent in Ms Excel will be an added advantage) 
•    Attention to Detail – Ensuring accuracy in data management, documentation, and reporting (Employee database, BGV, Agreements, and HR reports).
•    Analytical Thinking – Ability to analyze HR data and provide meaningful insights for decision making.
•    Communication & Coordination – Strong stakeholder management skills for employees, vendors, and leadership.
•    Time Management – Ability to multitask and prioritize work in a fast-paced IT environment.

Skills

•    Experience handling Cloud-based HRMS tools (e.g., Workday, SAP SuccessFactors, Darwinbox, BambooHR, GreytHR).
•    Prior experience in Employee Onboarding, Contract handling, BGV, HR analytics, and employee records management is preferred.
•    Expert in handling Entire employee Life-cycle.
